Privacy Policy
Accept Speech Language Therapy LLC (“Accept,” “we,” “us”) provides speech-language pathology and cognitive-communication services from Manhasset, New York. This policy explains what we collect through acceptneuro.com, why, and the choices you have. We keep it short and plain on purpose.
What we collect
- When you book a consultation: your name, email address, phone number, and the time you choose. Your card details are entered on Stripe’s secure payment page, and we never see or store your card number. We keep a record of the booking, the payment reference and the amount paid or refunded.
- When you book a clinical evaluation: the intake you complete, which includes the client’s name, date of birth and contact details, insurance details and card photos if you use insurance, the reason for the evaluation, your doctor’s details if you give them, and your consents and signature. This is health information. It is stored encrypted and handled as described in our Notice of Privacy Practices. No payment is taken when you book an evaluation.
- When you use our contact or program-interest forms: the details you type, such as your name, email, phone, organization, address, the services you are interested in, referral and insurance questions, and your message.
- Technical information: your IP address and basic browser details, used to keep the site secure and to prevent abuse of the booking system.
Apart from the evaluation intake, please don’t put medical or clinical details in a form or consultation booking. These will be discussed with you directly.
How we use it
- To schedule, confirm, change, cancel and refund your consultation or evaluation, and to send you the related emails and the video link.
- For evaluations: to prepare for your evaluation, verify insurance coverage and bill for the service.
- To reply to your message or inquiry.
- To protect the site and our booking system from spam, fraud and misuse.
- To keep the records we need for accounting, tax and legal reasons.
We do not sell your information, and we do not use it for advertising.
Who helps us run this
We share information only with the services that make the site and booking work, and only as needed for that purpose:
- Amazon Web Services: hosts our booking system and stores booking records and evaluation intakes, encrypted, under a business associate agreement.
- Resend: sends our booking emails. Emails never contain health or insurance details.
- Stripe: processes your payment and any refund.
- Zoom: hosts video consultations and evaluations. Meeting titles never include your name.
- Google: our calendar shows the type of appointment, a reference number and the video link, never your name. The site also loads fonts from Google Fonts.
- Cloudflare: hosts the website and runs a security check (Turnstile) on our forms to keep out automated spam.
We may also disclose information if the law requires it, or to protect the safety and rights of our clients, our practice or others.
Cookies and tracking
We do not use advertising, analytics or social-media tracking cookies or pixels on this site. Our security check may use limited browser storage to tell people from automated bots, and Stripe and Zoom set their own cookies on their own pages, under their own policies. Because we don’t use tracking cookies, we don’t show a cookie banner. If that changes, we will update this policy and ask for your permission first.
Your health information
This policy covers information collected through the website. Once you become a client, how we handle your health information is described in our Notice of Privacy Practices, which you can read on this site and which you may ask us for at any time. That notice is governed by HIPAA and applies in addition to this policy.
How long we keep it, and security
We keep booking and payment records for as long as we need them for scheduling, accounting and legal purposes, and then delete or anonymize them. We use encryption in transit, access controls and trusted providers to protect what you share. No method of transmission or storage is perfectly secure, so we can’t guarantee absolute security.
Your choices
You can ask us what information we hold about you, ask us to correct it, or ask us to delete it, subject to the records we are legally required to keep. Email us at the address below and we will respond promptly.
Children
This site is intended for adults, including parents and caregivers booking on behalf of a child. We do not knowingly collect information directly from children under 13.
Changes to this policy
If we change this policy, we will post the new version here and update the date at the top.
